In ButtonShift, you have powerful ways to involve team members in your tasks. While both “assigning” and “tagging” bring members into a task’s orbit, they serve distinct purposes critical for clarity and workflow efficiency.
Assigning a Member to a Task
When you assign a member to a task, you are designating that individual as the responsible party for performing and completing that specific task.
- Responsibility: The assignee is expected to carry out the work outlined in the task.
- Singular Focus: A task can be assigned to only one person at a time. This ensures clear ownership and accountability.
- Flexibility: The assignee can be changed whenever required, allowing for reallocation of work as project needs evolve.
Tagging a Member in a Task
Tagging a member (often done using the “@” symbol followed by their username, like @JohnDoe) is purely contextual and serves primarily as a notification or informational mechanism.
- Notification/Looping In: Tagging is typically used to:
- Notify a member about the task’s progress or a specific update.
- Loop them in on a conversation relevant to the task without making them responsible for its completion.
- Introduce a contact for the assignee to interact with for task completion (e.g., “@ClientName is the contact for this deliverable”).
- Multiple Inclusions: You can tag as many people as required in a task.
- Location: Tagging can be done in both the task description and in comments.
- Access Requirement: Only users who already have access to the Worklist can be successfully tagged and receive notifications.
- Notification Trigger: When a user is correctly tagged in a description or comment, they receive a notification about the task update or the specific comment. Simply mentioning an email ID in the description or comments without using the tagging mechanism will not trigger a notification or formally tag them.
